E-Mail
Even small organisations and individuals can benefit from electronic mail.
Private company mail systems can also be linked to the Internet to allow cheap and easy
transfer of information.
Cost savings can be tremendous when compared to faxing and post
A typical organisational Internet e-mail system could look like this: -
Microsoft Exchange Server connected to Internet with domain name of
"yourcompany.co.uk" or "yourcompany.com".
Microsoft Exchange Server can be configured to provide:
Public Folders
An area of the e-mail system that can be used as an 'electronic notice-boards'. These
public folders can be the ideal pre-cursor to an Intranet, and can be set up for
departments to use (such as a Personnel folder containing commonly used forms, and holiday
information, a Health & Safety folder to show new staff fire or other regulations)
Sub-domains
If you operate a group of companies or different sites, you will benefit from sub domains
in an e-mail address, such as "nic.wood@london.wood-wood.com"
or "nic.wood@paris.wood-wood.com"
Message encryption
If you want to send sensitive information to others on your network, how can you be sure
that unauthorised staff do not get to see it. With encryption of messages, the sender and
recipient need to enter a 'PIN' number or password to access the message. This will keep
out even the system administrator !
Digital Certificates
When you receive confidential or sensitive information, its good to know that the sender
is who they say they are. With Microsoft Digital Signatures, you can see that the person
sending the message has a certificate, and that the message has not been tampered with
en-route to you, (even via the Internet).
Pseudonyms
When you need departmental e-mail addresses, you can use the Microsoft Exchange
Distribution Lists or you can allow staff to have more than one Internet e-mail address.
This means you can have Internet e-mail addresses such as"sales@wood-wood.com",
or "personnel@wood-wood.com"
Microsoft Outlook
On each PC, connecting users both internally and with external e-mail
addresses.
Messages can be transferred both internally and externally with ease, and files an also be
attached to be sent with the message.
If being received by another Microsoft Outlook/Microsoft Exchange user, then features such
as bold, italic and formatting will be received exactly as the original was sent.
