Backup
Backing-up information, is the process by which we can save computer files to a second (or
third) location to prevent total loss against theft or breakdown.
Sadly, most back-ups come unstuck when that vital file is needed, or a system crashes. At
this time (normally just before a big meeting), the regular tape changing process is found
to be just that, and vital checks have not been tested or samples restored.
If you don't plan for disaster, it WILL get you sometime !
Make sure your system is tested regularly, and that all contingencies are covered (well at
least the ones listed in the small print of exclusions in your insurance).
TIP: If you are running Microsoft Exchange Server, be sure you have the correct backup
agent in place, as you may not be backing up all of the data in the Exchange
database,(this is also required for some other applications.
TIP: If you are responsible for the backups in your office, it is wise to do several
things, firstly have a detailed log of who performs each backup, and what tape they should
use, (this is a good use of Microsoft Excel - in a Public Folder on the e-mail system
TIP: It is always worth testing the backup at least on a weekly basis, try deleting a test
file, then restoring it using a specific tape - you will gain confidence in the system,
and be far quicker at restoring files.
TIP: We normally set our backup systems to send an e-mail to the system administrator or
to a public folder. This way it becomes easy to see if the backup has been successful and
make sure all is running smoothly.
